Getting consent for data processing from session participants who aren't your clients

If you add a participant to a session who isn’t your client (such as a client’s family member), you as a provider are responsible for obtaining their consent to record the session, and have their data processed by Upheal. There’s no standard or required method of collecting this consent, but we recommend getting it in writing and keeping it for your records.

Why do I need to obtain consent from someone who isn’t my client?

Upheal processes all speech and personally identifiable information (PII) from a session to generate notes and insights. That means if someone speaks at all, they’re contributing data that will be processed by Upheal. So, even if a participant isn’t a registered client and providing personal health information (PHI), you’ll need to inform them that the session is recorded and get their permission for this processing.

You can ask additional session participants to sign this form to ensure that you have consent for Upheal to process their data.

How to make a copy in your Google Drive

  1. Click File > Make a copy.

  2. Rename the document, choose the folder to save it in, and click Copy.

How to download for editing on your computer

  1. Click File > Download.

  2. Choose which file type you want to download, such as Microsoft Word (.docx).

  3. The download starts automatically, and then you can edit the new file on your computer.
