What is virtual session capture?

Our virtual session capture tool gets you Upheal notes from any session you hold in your EHR or other online platform on your computer.

Your computer, browser, and headphones preferences will define how you capture sessions, and where you can capture them from.

This article explains how to capture sessions held on your computer. If you want to capture sessions you're holding on your phone or tablet, you can try this.

Getting started with virtual session capture

Step 1: Use the help panel

We offer two modes for capturing virtual sessions: No headphones (Simple) mode, and Headphones / Shared audio mode. Your options will depend on your setup, so follow these steps:

  1. From the Upheal menu, click +New note, and click Virtual & EHR.

  2. Click Help in the upper right corner of your screen, you'll see a help panel that explains your options:

    • Headphones: Can be used / Can't be used

    • Capture from desktop: Available / Not available

    • Capture from browser: Available / Limited

Step 2: Choose your mode (if not solved in Step 1)

Virtual session capture has two modes:

  1. Headphones / Shared audio mode: This is the recommended and more reliable mode. You share a tab or window with Upheal, and it captures audio directly from both your microphone and your shared screen.

  2. No headphones mode (Simple mode): This mode works like a microphone. It picks up sound around it, and in some cases, it might be able to pick up audio from the same computer's speakers. However, this can't be guaranteed.

Which mode should I use?

  • Use Headphones / Shared audio mode if possible β€” All you need is a Chromium-based web browser such as Google Chrome, Microsoft Edge, Opera, etc. (Firefox and Safari are not supported.)

  • Since No headphones (Simple) mode is less reliable, we don't recommend it as much, but it still works for some providers and can be simpler to use.

How do I know which mode I'm in?

You can see if you're in Headphones / Shared audio mode or No headphones mode beside the speaker icon. Click the arrow on the option to switch modes.

Headphones / Shared audio mode

Headphones / Shared audio mode is the most reliable way to capture virtual sessions.

It works by sharing your screen and audio with Upheal, so you can use headphones. Upheal only captures the sound; it does not "see," process, or store any video.

To use Headphones / Shared audio mode, you need to use Upheal on:

  • A computer (not a phone or tablet)

  • A Chromium-based browser such as Google Chrome or Microsoft Edge (Firefox and Chrome are not supported)

Headphones mode: Capturing a session in a browser tab

Capturing a session in a browser tab means that you can hold a session using any calling tool you like in your browser, such as SimplePractice, Google Meet, or Doxy.me, and get your notes in Upheal.

  1. From the menu, click New session, then click Virtual & EHR.

    Or, from your client's page, click Capture live session > Virtual & EHR.

  2. Choose a client, or hold an anonymous session.

  3. Choose the In browser tab, and click Start audio capture.

  4. Follow the instructions β€” Choose the tab where your session is running, and click Share.

  5. In your browser, you'll a message telling you which tab is being shared, and recording and sharing icons in the Upheal tab as well as the session tab.

  6. Hold the session as usual. You should see the sound meter react when both you and your client speak. When you're ready to end the session, click Pause.

  7. Then, click End session.

  8. Fill out the session details, and click Upload for processing.

  9. Your session will process, and you'll get notes in Upheal.

Headphones mode: Capturing a session from a desktop app

Capturing a session in a desktop app means you can hold sessions in calling apps, like Zoom or Microsoft Teams, outside of your internet browser and get your notes in Upheal.

Because of strict security standards on Mac computers, the option to capture sessions from desktop apps is only available on computers running Windows.

  1. From your Upheal dashboard, click Capture virtual session.

  2. Choose a client, or hold an anonymous session.

  3. Choose the Desktop apps tab, and click Start sharing.

  4. Follow the instructions β€” Choose Entire screen, switch on Also share system audio, and click Share.

  5. Hold the session as usual. You should see the sound meter react when both you and your client speak. When you're ready to end the session, click Pause.

  6. Then, click End session.

  7. Fill out the session details, and click Upload for processing.

  8. Your session will process, and you'll get notes in Upheal.

No headphones mode (Simple mode)

No headphones or Simple mode captures sound only with your device's microphone. It can't hear any sound from headphones.

If you're holding a session on your computer and trying to capture that session with the same computer, your microphone might or might not pick up the audio from your speakers. Some systems cancel out audio from their own speakers to prevent echo.

However, this mode still does work for some. Here's how to use it:

  1. Start your telehealth session on your computer.

    If your session is in a web browser, we recommend holding it in a second browser to maximize the chance that your microphone will pick up sound from your own speakers.

  2. In Upheal, click +New session, and click EHR & virtual.

    Or, from your client's page, click Capture live session > Virtual & EHR.

  3. Click Start audio capture.

    You can check that Upheal is picking up sound by watching the sound monitor bar while your client is speaking. If it's showing variation, you're catching the sound. If it's flat, try Headphones mode.

  4. Once your session is finished, click Pause, then click End session.

  5. You'll have a session note in a few minutes.

Does virtual session capture or record video?

Virtual session capture only captures audio, not video. Upheal does not access your session video.
