If you hold your sessions on a platform that isn’t integrated with Upheal, such as SimplePractice, Doxy.me, or Google Meet, we have three solutions that empower you to hold sessions any way you like while still getting all the benefits of Upheal’s notes and insights.

We recommend using Upheal's Chrome browser extension for the smoothest experience. However, if that's not an option for you, you can either use our audio recorder tool, which records your sessions live and automatically adds the recordings to Upheal, or you can record sessions yourself and upload them to Upheal manually.

Using the audio recorder

With Upheal’s audio recording tool, you can hold a session on any calling platform and use another computer, phone, or tablet to capture an audio recording that will get uploaded directly to Upheal. You won’t have to store any recordings on your own device or spend time uploading session recordings to Upheal manually.

What you’ll need:

  1. You’ll need two devices. You hold the session (make the call) on one device, and record the session with the other device. The recording device must be able to run Upheal (Mac, PC, or phone or tablet running iOS or Android) so you can use the audio recorder.

  2. Your recording device needs to be able to hear both you and your client, so during the call, use your calling device’s speakers, rather than headphones.

Currently, this two-device method is a “workaround” solution to holding sessions on non-integrated calling platforms. In the future, we plan to provide a feature that can capture audio directly from other platforms to Upheal, streamlining this process.

Before using the audio recorder

Before you record a real session, we recommend testing your recording setup and changing the settings on your recording device. This helps prevent unexpected technical issues and interruptions to your sessions.

Test your setup

Devices and spaces may vary, so test your recording setup before recording a real session.

  1. Place your recording device where you’d like it to be during the session, such as near your calling device’s speakers.

  2. Run any recording program or app on your recording device, such as Voice Memos. *When using Upheal, you don’t have to run any separate recording programs.

  3. Briefly play some audio out of your calling device’s speakers (it can be any audio or video, but we recommend something with speech, such as a TV show, so you’ll be able to tell if you can hear it clearly). Then, from the position you’ll be in during sessions, speak as naturally as possible for a few moments.

  4. Stop recording, and play back the audio. If it’s easy to hear and understand, that should be a good place to put your recording device. If not, try moving the device to a different location and testing again.

Change your device settings

If you’re recording on a computer:

  • Mute the computer’s speakers (not the microphone).

  • Turn off any auto-sleep or auto-hibernate features. Recording will stop if the computer sleeps.

If you’re recording on a phone:

  • Turn off all sounds and vibrations.

  • Put the phone in Do Not Disturb mode.

  • Turn off auto-lock. Recording stops if your phone locks.

Recording a session with the audio recorder

We recommend starting the audio recorder on your recording device shortly before the session to avoid interruptions or distractions during your session.

1. Starting the audio recorder

First, sign in to Upheal in a web browser on your recording device. From there, you can start recording multiple ways:

From the client page, on your recording device:

  1. Select the client you’re having a session with.

  2. Click on the + New session button, and click Start audio recorder.

From the waiting room, via Uphealer link or client page, on your recording device:

  1. Click on the + New session button, and click Start session.

  2. From the waiting room, click Start audio recorder.

From your Upheal home screen, on your recording device:

  1. Go to your Upheal home screen.

  2. Click on the + New session button, and click Start audio recorder.

  3. Select the client you’re having a session with.

2. Microphone access and client consent

If you haven’t given Upheal permission to access your microphone, you’ll be prompted to do so.

If you haven’t collected client consent, you’ll have the opportunity to send the consent email during the session, or to confirm that you’ve already collected client consent yourself.

3. Holding the session

Let the app run throughout the whole session to record.

4. Ending the session

  1. When you’re finished, click End Session, and the recording will stop.

  2. If you selected Store recording during the session, you’ll be asked to confirm that you have the client’s consent to keep the recording. To confirm, click Yes, store it, or to discard the recording after processing, click No, cancel. If you do not select Store recording, Upheal deletes the recording automatically.

  3. The recording is uploaded automatically to Upheal, which should take just a short while but depends on the length of the session and the speed of your internet connection. After uploading, Upheal processes the session as usual.

  4. When processing is finished, you’ll be able to access your session notes and insights.

Storing session recordings

If you would like to store the session recording, click Store recording in the bottom-right of the screen during the session. You can deselect this option any time during the session.

Deleting a session

If you want to delete the session during uploading, click Cancel and delete session. To confirm, click Delete, or to cancel and continue uploading, click Cancel.

Alternative: Uploading recordings manually

You can still record sessions independently and upload them to Upheal manually. Read more about uploading sessions from your computer or mobile device.
